HVAC system renovations

Gentlemen:

You are invited to bid on the HVAC renovations project for MarVa Theater. The City of Pocomoke will receive sealed Bids until 2:00 p.m. Eastern Standard Time on Thursday, April 4, 2019 at Pocomoke City Hall, (101 Clarke Ave. Pocomoke City, MD 21851) Please provide a total of 3 copies, one for Pocomoke City with additional copies provided for AWB Engineers and Mar-Va Theater. Bids received after this time will not be accepted. Bids shall be sealed in an envelope with the Contractor's name and the project title typed on the outside. Sealed Formal Bids will be submitted to the Director of Purchasing and securely held until the time of Bid opening. Bids will be read aloud by the City Manager in an open public meeting at 3 pm Thursday, April 4, 2019 at Pocomoke City Hall, 101 Clarke Ave. At time of meeting, Director of Purchasing will record the Bids.

The scope of the project is to renovate existing HVAC systems and provide additional HVAC system to selected spaces. All HVAC work shall be in accordance with the Contract Drawings and specifications as prepared by Andrew W. Booth and Associates, Inc.  Please review the Drawings and inspect the proposed site to get a thorough understanding of the scope of this contract.  In addition to HVAC work shown on the HVAC plans, contractor shall include electrical work, roofing by roofing contractor to maintain roof integrity and warranty, any architectural/structural work required for installation of HVAC systems and any other work in order to provide fully functioning HVAC systems. The Mar-Va Theater has requested a separate quote from the contractor for the continued quarterly maintenance of the installed equipment.

A mandatory pre-bid meeting will be held at MarVa theater office located at 103 Market Street, Pocomoke City, MD 21851 on March 21, 2019, at 3:00 p.m.  The Contractor, in submitting a Proposal, agrees to attain Completion of the Project by May 31, 2019.  Notice to Proceed will be given on April 16, 2019 to the winning bidder.

All questions concerning the project are to be submitted in writing or email to Pawel Szczurko, P.E. (pszczurko@awbengineers.com), of Andrew W. Booth and Associates, Inc. and Crystal Matthews (info@marvatheater.com) of MarVa Theater.  No telephone questions will be acknowledged. Selected contractors are to advise subcontractors, suppliers, and vendors of this requirement.  All questions are to be submitted by Thursday, March 28, 2019, 02:00 p.m. so that responses can be provided before bids are due.

All required building permits (excluding Maryland Historical Trust) shall be the responsibility of awarded contractor. Building plans have not been submitted to local officials.  Sub-contractor permits are the responsibility of those trades as needed.

Copies of the HVAC drawings will be provided by email.  Hard copies may be printed by the contractor at their expense.

All Contractors must be licensed under prevailing Maryland state laws governing respective trades.  All bids must be made on the properly executed Bid Proposal Form.  No bid may be withdrawn for a period of thirty (30) days after receipt of bids, except as provided by Maryland state law.  The Owner expressly reserves the right to reject any or all proposals, to waive informalities and irregularities in the proposals and to accept any proposal which in their judgment best serves the interest of the Owner.

A Performance and a Labor Material Payment Bond is to be included in the base proposal with an option for deletion.
